Overpayments - employee and manager responsibilities

Employee responsibilities

  • Submit accurate time, absence, and attendance records on time for review and approval
  • Provide notice of any changes that will impact your pay as soon as possible, for example, sick leave, unpaid leave or change in hours
  • Make sure your payslip details are correct and contact your line manager if you have any queries
  • If you think you've been overpaid or underpaid, inform your line manager

As an employee, it is your responsibility to be familiar with 'National Financial Regulation B3 on Employee Administration and Payroll' (NFR B3).

Line manager responsibilities

  • Comply with the National Financial Regulations to avoid overpayments
  • Ensure changes to staff working arrangements are submitted on appropriately-completed and signed HR forms no later than 4 weeks before the change is due to begin
  • Ensure time worked and returned for staff in your area of responsibility is approved and signed off within the payroll deadlines
  • Ensure absences are appropriately notified and updated to impact on payroll within the payroll deadlines
  • Ensure time entered is validated, any errors addressed and signed off in line with the payroll deadlines. A copy should be retained for audit purposes

As a line manager, it is your responsibility to be familiar with NFRB3.
