Social Media and Data Protection Policy

The Social Media and Data Protection Policy sets out the rules for staff using social media and other online platforms. It applies to both work and personal posts if they could affect the organisation. It replaces older guidelines and now includes guidance on GDPR and data protection.

Purpose

The policy helps staff use social media and online platforms safely at work and avoid potential risks.

By following this policy, everyone using HSE services or visiting HSE sites will know the rules for using social media.

The policy also helps HSE staff protect patient privacy, act professionally, and respect people’s rights. It explains the rules for using recording devices and social media, both at work and personally, if what you post could affect the organisation.

Who the policy applies to

The policy applies to all HSE employees.

This includes:

  • agency staff
  • contractors
  • volunteers
  • students
  • those on work experience

Why it matters in healthcare

Using social media in healthcare can impact patient privacy, data protection, and public trust. The policy helps protect patient information and the HSE’s reputation in the online environment.

Employee responsibilities

  • Use social media and recording devices responsibly and lawfully.
  • Never share identifiable patient information online.
  • Maintain clear separation between personal opinions and professional representation.
  • Report data breaches or inappropriate online posts.

Manager responsibilities

  • Ensure staff are informed about the policy.
  • Ensure staff understand and comply with the policy.
  • Respond promptly to reports of inappropriate use.
  • Liaise with data protection officers and communications teams where incidents arise.
