Webex Meetings

Webex Meetings is a programme used for virtual meetings. Participants in different locations can collaborate in real time using audio and video conferencing.

The Webex portfolio Includes:

  • WebEx Meetings: web and video conferencing for up to 1,000 participants
  • WebEx Events: large scale webinars for up to 3,000 participants with chat, polling and Q and A
  • WebEx Training: you can deliver live online training to up to 1,000 participants.

Getting started

To start using Webex, you will need Google Chrome. You can download Google Chrome to your PC or laptop. Contact your local IT helpdesk if you need help with this.

You will also need a headset or earphones and a webcam. If you have a HSE laptop then a webcam is already installed above your screen. If you have a desktop computer instead of a laptop then contact your local IT helpdesk to order a webcam.

Joining a meeting

If you are invited to a meeting you will receive a link and dial-in information. You can join on your computer, phone, browser, or by dialling the number in your invite.

You don’t need a Webex account to attend a meeting. You only need an account to create a meeting - this makes you the host.

You don’t have to download the app. You can join from your browser. Click the link in your invite and choose ‘join from browser’.

Applying for a WebEx account and licence

To host a meeting you must complete an application for a Webex account.

Webex tools for scheduling meetings

Use Webex Productivity Tools with Microsoft Outlook and Lotus Notes to schedule Webex meetings from your calendar.

Each account works as a virtual meeting room. Check how many meeting rooms your team needs. If you run several meetings at the same time, you may need more than one Webex account.

Install the WebEx Desktop App and Productivity Tools after you request your Webex account.

Recording meetings

Recording clinical consultations is not permitted on any video‑conferencing platform.

It may be necessary to record a video meeting in some situations, for example a training session that needs to be shared with people who could not attend.

When you record a non‑clinical video meeting, you must get consent from everyone in advance. The host should collect this consent at the start of the meeting. You should tell participants if the recording will be shared, for example on YouTube. Do not include sensitive or confidential information in these recordings.

As the host, you are responsible for the recording.

In Webex Meetings, when the host clicks record, they see 2 options - record to the Webex Cloud or record to HSE device. Where possible, record directly to your HSE device. If this is not possible, download the recording from the Webex Cloud after the meeting and save it on your device. Only share the recording in the way agreed at the meeting.
